Exclusive hire, room sharing, younger guests and the practical details that make a group stay work.
Can we hire a whole building exclusively?
Yes. Exclusive whole-building hire can be arranged for groups, with staffing planned around the booking. Tell us your dates, numbers and programme. The proposal will define the building, bedrooms, communal areas, access arrangements and services included. Availability, minimum commitments and pricing are agreed individually.
Can you staff the stay around our group’s needs?
Yes. We can plan staffing to suit your booking, including arrival coordination and the operational support your programme needs. Request the roles and hours you have in mind; the agreed staffing scope and any additional charges will be set out in your proposal.
Can we book more than one building?
Ask us about a larger takeover or multiple buildings. The team will confirm which spaces can be offered together, their capacity and whether facilities are exclusive or shared. Do not assume that a whole-building booking includes every space on the site.
Do you welcome school trips, Scouts and younger groups?
We welcome enquiries from schools, Scouts, Guides and youth organisations. Include the number of under-18s, age ranges and accompanying adults. The group’s suitability, supervision arrangements and room allocation must be agreed before booking.
Does hotel staffing include supervision of children?
Accommodation staffing and group supervision are different responsibilities. Organisers must agree who supervises young people throughout the stay. Tell us your organisation’s requirements; do not assume that reception or overnight staff replace teachers, leaders or chaperones.
Can teachers, leaders and coaches have separate rooms?
Yes, request smaller private rooms alongside the main group allocation. Tell us how many staff need individual or shared rooms and whether they need to be near particular guests. Exact locations and adjoining rooms depend on availability.
Will our group share bedrooms with other guests?
A confirmed private-room booking is for your group’s room use. Individual dorm-bed bookings are different and may place you with other travellers. Ask for private group rooms or exclusive hire if keeping everyone separate from other guests is essential.
Which room sizes are available?
The published Cloudbeds catalogue includes smaller two-, three- and four-person options and private group rooms for 6, 9, 10, 12, 13, 15, 18 and 21 guests. Not every capacity has the same bathroom arrangement. The room guide above explains the combinations; your quote confirms availability.
Are bathrooms ensuite or shared?
Both arrangements appear in the catalogue. Ensuite means a bathroom within that room; shared bathrooms serve guests outside it. Confirm the exact allocation, access and any exclusive bathroom requirements in your group proposal.
Can you arrange meals, dietary requests and early breakfasts?
Tell us the meals, timings, numbers and dietary requirements you need. We will discuss what can be provided and priced for your stay. Food, packed lunches and special meal times are not automatically included in accommodation; allergy arrangements need specific confirmation.
Can we arrange late returns or an early departure?
Include your full arrival and departure schedule, especially for Carnival, performances and early fixtures. The current Cloudbeds listing gives check-in from 15:00 and check-out by 11:00. Early room access, late check-out, luggage arrangements and overnight access must be agreed separately.
Can a coach drop us at the door?
Discuss the approach and drop-off plan before booking your transport. The hostel is inside Holland Park, where gate access and the final walk matter. Do not assume coach access, on-site coach parking or unrestricted vehicle entry.
Can you accommodate access needs or equipment storage?
Describe the practical requirements before booking: step-free routes, stairs, bathroom access, bed access, equipment dimensions or storage needs. The team will confirm suitability and any available arrangements. Please do not submit medical records through the enquiry form.
Can we use exclusive hire for our own event?
Tell us what you want to run, including attendance, timings, music, food and staffing. Exclusive accommodation does not automatically include permission for an event, amplified music, external visitors or use of the public park. The permitted use and any additional arrangements must be agreed.
How do deposits, cancellations and changing numbers work?
Your group proposal and booking terms will set out the deposit, payment deadlines, rooming-list deadline, cancellation conditions and how changes are handled. Ask for these before committing. Individual online rates and group or exclusive-hire agreements can have different terms.
Should we book through Cloudbeds or enquire first?
Enquire first for organised groups, under-18s, exclusive hire, multiple rooms or staffing needs. Cloudbeds is useful for understanding room names and checking individual availability, but separate bed purchases do not create an exclusive group allocation. The team will explain how to confirm your agreed booking.
Is event entry or transport included?
No event tickets, venue entry or transport are included unless explicitly listed in your agreed package. Book these with the relevant provider and check the latest event programme and travel arrangements.
What happens after we send the form?
The team reviews your dates, numbers and requirements, then discusses availability and the right room mix. You can clarify staffing, meals and exclusive-use needs before a proposal is agreed. An enquiry does not reserve rooms or take payment.
